Owens & Minor General Office Coordinator/ Part-Time in Sunrise, Florida

Provides clerical support to multiple departments within the division such as Accounts Payable, Customer Service, Regulatory and/or Maintenance and back-up for the receptionist while performing a variety of duties and utilizing knowledge of systems and procedures.

ESSENTIAL JOB FUNCTIONS:

1.Updates and adds invoices and Preventative Maintenance (PM) records in the PM binder.Collects, collates and maintains files for departmental areas such as invoices and proofs of delivery as needed.

2.Updates and adds work instructions relating to PMs into the SmartSolve system.

3.Works internally with Owens & Minor Health Care Logistics (OM HCL), Operations Managers, Supervisors and Regulatory and Maintenance teammates as well as with external vendors to assist in scheduling appointments and resolving maintenance needs.

4.Orders parts via the OM HCL Purchase Order process.

5.Acts as back-up to Receptionist (answering phones, taking messages, greeting others, etc.).

6.Operates office machines, such as a personal computer or laptop, calculator and/or duplicating machines.

7.Copies data and compiles records and reports pertaining to division's transactions.

8.May open and route incoming mail.

9.May purchase office supplies for divisions.

10.May process and pay invoices in support of accounts payable functions.

11.May assist customer service by taking customer orders and researching credits and rebills.

12.May coordinate and track all documentation regarding inter-branch transfers of product.

13.May contact other divisions to secure required documentation of prior product transfers.

14.May stamp incoming checks and deposit in bank account.

SUPPLEMENTAL JOB FUNCTIONS:

1.May prepare payroll for divisions.

2. Performs additional duties as directed.

QUALIFICATIONS:

EDUCATION & FORMAL TRAINING:

High school diploma or equivalent, required.

WORK EXPERIENCE:

Up to three months.

KNOWLEDGE, SKILLS AND ABILITIES:

A.Basic knowledge of Arithmetic, English and Grammar.

B.Accuracy in checking, posting and counting.

C.Ability to use MS Office Suite (including Excel, Word and Outlook) to write or generate reports.

D.Ability to use automated office equipment.

E.Ability to work with others.

EQUIPMENT, TOOLS AND WORK AIDS:

Automated office equipment such as a personal computer or laptop, telephone, calculator and copier equipment.

Simple use file cabinets, pens and pencils.
