Responsible for office/clerical functions and providing administrative support for Senior Management by scheduling appointments, giving information to callers, composing correspondence and otherwise relieving the executive of administrative detail.  May coordinate budget preparation and records control processes and special management studies.



  1. Composes and types routine correspondence.  Reviews correspondence intended for review/signature of the executive for correct punctuation and grammar.
  2. Prepares and/or files correspondence and other records.  Creates and develops presentations and/or organizational charts.
  3. Receives, sorts, opens, screens and distributes incoming mail, faxes, mailings and other correspondence.  Maintains and secures the confidentiality of personnel records and other correspondence.  Maintains special mailing lists as needed.
  4. Collects or prepares and reviews expense reports for accuracy and forwards to the appropriate Finance team.
  5. Receives and notifies executive of incoming telephone call, if applicable.  Responds to caller inquiries and provides information or redirects caller when appropriate.
  6. Provides clerical and administrative support (such as maintaining office equipment, maintaining executive's office and stationery supplies) for a department, multiple functions or a business unit. 
  7. Coordinates staff meetings and various other appointments.  Maintains the executive's daily calendar.
  8. Coordinates meetings and other special events.  Coordinates travel/hotel arrangements for the team as well as for visiting customers.
  9. Assists the executive in daily communications with direct reports; Keeps the executive informed of the direct report's itinerary.


  1. May provide backup receptions support.
  2. Performs additional duties as directed.



1.      High School Diploma, GED or equivalent, required.

2.      Minimum, three (3) years of work experience in an administrative role, required.


1.      Basic knowledge of arithmetic, English and grammar. 

2.      Ability to demonstrate accuracy in checking, posting and counting.

3.      Adaptable to clerical routines.

4.      Ability to demonstrate excellent verbal, written and interpersonal communication skills with sensitivity and confidentiality; Portrays a professional demeanor.

5.      Ability to operate office equipment (such as personal computers, facsimile machine, copiers, etc.) and use software (such as MS Outlook, VISIO organization chart, Excel, Power Point, Word, Calendaring or other Windows platform software).

6.      Ability to meet stringent deadlines and perform under pressure.

7.   Strong planning and organizational skills with a proven ability to proactively prioritize and manage multiple tasks simultaneously. 

8.   Ability to work on a team and also independently with limited supervision in a fast-paced ever-changing environment.
