POSITION SUMMARY

 

Plans and executes project tasks related to tradeshow promotional plans associated with National healthcare industry trade events for Owens & Minor Solutions and Halyard Products Divisions to maximize company exposure and produce sales leads. Reporting to the Sr. Manager, Trade Industry Relations, collaborates with marketing, communications, sales, and regulatory teams, as well as trade show contacts and other applicable vendors to execute on activities. Follows appropriate processes related to successful trade show attendance such as production and delivery of all trade booth materials, pre- and post-show activities, and assigned integrated marketing campaign activities.  



ESSENTIAL JOB FUNCTIONS: 

1.       Follows all trade show processes to ensure successful delivery of all trade booth activities and related logistics established for show schedule.

2.       Ensures all trade show discount deadlines are met including registration, hotels, services.

3.       Work with sales teammates in field to coordinate local events including presentations, and table-top set ups as needed.

4.       Works with appropriate teammates to deliver relative integrated marketing content such as pre-show advertising, social media, booth graphics, video or slide content, and collateral materials, samples and lead platform content.  

5.       Communicates show planning progress to management and attending teammates through planning meetings, memos and responding to emails in a timely manner.

6.       Execute pre-show customer and sales outreach efforts with direction from Sr. Manager and sales leadership.

7.       Collaborates with legal, compliance, contracts to ensure business processes and regulations are followed.

8.       Manages, maintains, and recommends continuous improvements for all booth properties and convention assets.

9.       Manages set-up when onsite and is able to train other teammates on booth set-up and tear-down and use of show-related platforms, such as Leadature.

10.   Collaborates with teammates to establish and deliver post-event messaging to follow-up with and nurture marketing qualified leads.

11.   Generates, interprets and distributes post-show reports, surveys and leads.

12.   Organizes add-on dinners, focus groups, and other off-site gatherings as assigned to leverage the opportunity of having multiple customers gathered.

13.   Tracks budget for all trade related expenses, thinks creatively and makes recommendations to reduce costs for effective budget allocation.

14.   Works with procurement and finance as necessary to manage the review of invoices, process payments and coordinate details associated with various budgeted expenses.

15.   Remains current on trends in exhibit management and the healthcare industry.

16.   Stays current on matters pertaining to Owens & Minor trade show policies and procedures and encourages teammate engagement across divisions.

SUPPLEMENTAL JOB FUNCTIONS:

Qualifications

EDUCATION & EXPERIENCE REQUIRED:  

  • Bachelor's degree from a four-year college or university, preferably with a concentration in business, marketing, communications, project management or related field
  • One to three years' experience planning and coordinating trade shows or events; or relevant equivalent marketing or project management experience transferrable to this role
  • Experience in healthcare industry or with industry organizations preferred
  • Pursuing or achieved CTSM or CEM preferred


KNOWLEDGE SKILLS & ABILITIES:

  • Knowledge and understanding of trade shows and event planning
  • Great communication skills (communicates early and often)
  • Strong organizational and project management skills
  • Ability to multi-task, work independently and establish priorities; organized and exercise flexibility when working on multiple projects
  • Ability to interact with staff at all levels of the company, cross-functional teams multiple departments on a daily basis
  • Ability to react quickly to changes and solve problems as they arise
  • Understanding of budgeting and ability to work within set budgets by negotiating better rates with contractors and vendors when necessary
  • Experience with Microsoft platforms including Outlook, Word, Excel, PowerPoint
  • Knowledge of social media, advertising and other integrated marketing campaign activities
  • Knowledge of print production processes and timelines

ADDITIONAL REQUIREMENTS:

  • Ability to travel up to 30%, including on weekends
  • Ability to work extended hours on occasion
